B Kids Daycare (“B Kids”, “we”, “us”, “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with our websites, parent/guardian portals and apps (the “Site”), our centres, and our childcare programs (the “Services”). We comply with British Columbia’s Personal Information Protection Act (PIPA) and other applicable Canadian privacy laws.

If you do not agree with this Policy, please do not use the Site or provide personal information to us. By using the Site or enrolling a child, you consent to the practices described here.

2) What we collect

We collect personal information only as reasonably necessary to operate the Site and deliver the Services, or as otherwise authorized by law.

A) From parents/guardians
  • Identification & contact: name, address, phone, email, relationship to child, government-issued ID (for secure pickup verification when required).
  • Account & communications: portal/app credentials, messages, feedback, forms, signatures/acknowledgements.
  • Billing: payment method tokens, invoices, transaction history (we do not store full card numbers if processed by a PCI-compliant provider).
  • Consents: media permissions, emergency medical authorization, policy acknowledgements, CASL email/SMS preferences.
B) About children (with parental authority)
  • Enrollment & care details: name, date of birth, schedules, classroom, interests, learning notes, attendance, incident/illness reports.
  • Health & safety: allergies, dietary needs, medical instructions, immunization status as permitted, emergency contacts, physician information, medications (e.g., EpiPen/inhaler), accident logs.
  • Media: photos/video captured in centre with your consent (see section 9).
  • Access & security: sign-in/out records; authorized pickup lists; optional access features (e.g., passcodes, fobs). If live-view cameras or biometric features are offered, we will provide additional notices and collect only what is necessary to administer access.
C) Website & app usage
  • Technical data: IP address, device/browser type, pages viewed, session data, approximate location, and cookies or similar technologies (see section 10).
  • Marketing interactions: campaign source, form submissions, event RSVPs, reviews/testimonials.
D) Applicants & staff
  • Employment applications, resumes, references, background checks as required by regulation.
3) Where we collect it from
  • Directly from you (forms, portal/app, email/SMS, in-person).
  • Your child’s educators (daily notes).
  • Service providers (billing, communications, identity/age verification).
  • Public sources as authorized by you or required by law (e.g., licensing checks).
4) How we use personal information
  • Enroll your child, provide licensed childcare, communicate daily updates, and ensure safety.
  • Manage tuition and billing, including processing payments and receivables.
  • Operate the Site and apps; provide support; maintain security and prevent fraud.
  • Meet legal, licensing, audit, insurance, and incident reporting obligations.
  • With consent, share newsletters, centre updates, and event invitations (CASL).
  • Improve our programs (quality assurance, analytics, de-identified reporting).

We will not use personal information for purposes beyond those identified at the time of collection unless we obtain additional consent or are otherwise permitted/required by law.

5) Our legal basis (PIPA)

Under PIPA, we collect, use, and disclose personal information with your consent or as authorized by law (e.g., to protect health/safety, comply with legal requirements, or for reasonable purposes related to delivering the Services). You may withdraw consent at any time, subject to legal/contractual restrictions and reasonable notice.

6) When we share information

We do not sell personal information. We may disclose information:

  • Service providers/“processors” who support operations (e.g., parent portal/app, payment processing, email/SMS, cloud hosting, security/camera vendors). They may access information only to perform services for us and must protect it.
  • Authorized individuals you designate (e.g., pickup contacts).
  • Regulators and authorities as required (e.g., health/licensing agencies, emergency services).
  • Professional advisors (legal, accounting, insurance) under confidentiality.
  • Business transfers in the event of a reorganization or acquisition, where permitted by law and with notice as required.
7) Cross-border transfers

Some service providers may store or access information outside Canada (e.g., the U.S.). While outside Canada, information may be subject to local laws and lawful access by governments. We take steps to contractually require safeguards appropriate to the sensitivity of the information.

8) Retention

We keep personal information only as long as necessary to fulfill the purposes above and meet legal, tax, and licensing requirements, after which it is securely deleted or de-identified. Typical retention:

  • Enrollment/child records: required regulatory period after last attendance.
  • Billing records: up to 7 years.
  • Camera access logs: short, operational period unless needed for an investigation.
  • Media (photos/video): retained per your consent preferences and centre policy.
9) Photos, video & live-view cameras
  • We obtain your media consent during enrollment and respect your preferences.
  • Media may be used for classroom updates (e.g., secure parent app) or internal documentation. Public use (e.g., marketing) requires separate explicit consent.
  • If a live-view camera is offered, access is limited to enrolled families under strict terms (no sharing/recording/redistribution). We may suspend access for misuse or safety concerns.
10) Cookies, analytics & ads

We use necessary cookies to operate the Site and optional cookies for analytics (e.g., page performance, aggregate usage). We may use privacy-focused analytics or third-party tools that set their own cookies. You can control cookies in your browser; disabling some may affect functionality. If we run ads, we may use interest signals or conversion measurement in a way that does not identify children and complies with platform policies.

Categories we use:

  • Necessary: login/session, security, load balancing.
  • Analytics: traffic and performance (aggregated).
  • Preferences (optional): save site choices.
11) Your rights (BC PIPA)

Subject to limited exceptions, you have the right to:

  • Access your personal information and learn how it has been used or disclosed.
  • Correct inaccurate or incomplete information.
  • Withdraw consent to future use/disclosure (may affect Services).
  • Complain to our Privacy Officer or to the Office of the Information and Privacy Commissioner for BC (OIPC).

How to make a request: Email the Privacy Officer with your name, relationship (parent/guardian), child’s name, centre location, and the details of your request. We will verify identity and respond within the timelines required by PIPA.

12) Security

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including role-based access, encryption in transit (HTTPS), secure credential practices, staff training, and vendor due diligence. No method is 100% secure; we cannot guarantee absolute security.

13) Children’s privacy

We collect a child’s information from and under the authority of a parent/guardian in order to provide care. We do not knowingly collect personal information directly from children for marketing or non-care purposes. Parents/guardians may review, correct, or update a child’s records through the centre or parent app.

14) Email, SMS & CASL

We send service messages (e.g., billing, closures, health notices) as part of delivering the Services. Marketing emails/SMS are sent only with your express consent and include an unsubscribe option. You can update preferences in the parent app or by contacting us.

15) Third-party links

The Site may link to external websites or apps we do not control. Their privacy practices are governed by their own policies.

16) Changes to this Policy

We may update this Policy to reflect changes in practices, laws, or Services. We will post the updated version with a new “Last updated” date and, if changes are material, provide additional notice (e.g., portal message or email).
